FollowUpEasy is a product of Smartinfo Care Solutions Pvt. Ltd., a company incorporated under the Companies Act, 2013, with its registered office in Mohali, India.

We operate the website followupeasy.in and provide a WhatsApp-integrated Customer Relationship Management (CRM) platform designed for Indian small and medium businesses.

With respect to lead and customer data entered into FollowUpEasy by our business users, Smartinfo Care Solutions Pvt. Ltd. acts as a data processor on behalf of those business users, who are the data controllers responsible for compliance with applicable privacy laws in relation to their end customers.

We collect the following categories of information when you use FollowUpEasy:

2.1 Account & Registration Information

• Full name and business name
• Email address
• Mobile phone number
• Password (stored in encrypted form)
• Business type and team size

2.2 WhatsApp Business Data

When you connect your WhatsApp Business account to FollowUpEasy via the Meta WhatsApp Business API:

• Incoming and outgoing WhatsApp messages from your business number
• Phone numbers of your leads and customers
• WhatsApp message templates you create
• Broadcast campaign data (recipient lists, message content, delivery status)

Note: We only access messages from your connected WhatsApp Business number. We do not access personal WhatsApp accounts.

2.3 Lead & CRM Data

• Lead names, contact numbers, and email addresses
• Notes, follow-up history, and activity logs
• Lead status, pipeline stage, and assigned team member
• Orders, product links shared, and revenue data

2.4 Usage & Technical Data

• IP address and device information
• Browser type and operating system
• Pages visited, features used, and time spent on the platform
• Log data and error reports

2.5 Payment Information

Subscription payments are processed via Razorpay. We do not store your credit/debit card numbers or UPI credentials on our servers. Razorpay handles all payment data under their own PCI-DSS compliant infrastructure. We retain records of transactions (amount, date, plan) for billing and accounting purposes.

2.6 WhatsApp Messaging Compliance & User Responsibility

FollowUpEasy enables business users to send WhatsApp messages to their leads and customers. Our platform requires business users to ensure their contacts have provided opt-in consent to receive WhatsApp messages in accordance with Meta's WhatsApp Business Messaging Policy and applicable Indian law. FollowUpEasy does not send unsolicited messages on behalf of businesses and is not responsible for the opt-in practices of individual business users.

We do not use your data for advertising to third parties. We do not sell your data.

To provide our services, we work with the following third-party providers. Each has their own privacy policy.

These providers are bound by their own data processing agreements and applicable data protection laws. We only share data with them to the extent necessary for the services they provide.

Your data is stored on Amazon Web Services (AWS) servers. We implement the following security measures:

• Encryption of data in transit using TLS/SSL
• Encryption of sensitive data at rest
• Access controls and role-based permissions within our team
• Regular security audits and vulnerability assessments
• Secure password hashing (we never store plain-text passwords)

While we take reasonable precautions, no system is completely secure. We encourage you to use a strong password and keep your login credentials confidential.

We retain your data for as long as your account is active. If you cancel your subscription or delete your account:

• Your CRM and lead data will be deleted within 30 days of account closure
• Billing records may be retained for up to 7 years as required by Indian accounting and tax laws
• You may request earlier deletion by writing to support@followupeasy.in

As a user of FollowUpEasy, you have the following rights with respect to your personal data:

• Access: Request a copy of the personal data we hold about you
• Correction: Ask us to correct inaccurate or incomplete information
• Deletion: Request deletion of your personal data (subject to legal retention requirements)
• Portability: Request an export of your CRM data in a machine-readable format
• Withdraw Consent: Disconnect your WhatsApp Business account or delete your FollowUpEasy account at any time
• Opt-out of Marketing: Unsubscribe from non-essential communications at any time

FollowUpEasy uses cookies and similar tracking technologies to:

• Keep you logged in to your account (session cookies)
• Remember your preferences
• Analyse website usage via Google Analytics

You can disable cookies in your browser settings. Note that disabling session cookies may prevent you from logging in to the platform.

FollowUpEasy is a business tool intended for adults operating registered businesses. We do not knowingly collect personal information from anyone under the age of 18. If you believe a minor has created an account, please contact us immediately at support@followupeasy.in.

Our platform may contain links to external websites (such as Meta’s developer portal or Razorpay’s dashboard). We are not responsible for the privacy practices of these websites and encourage you to read their privacy policies.

We may update this Privacy Policy from time to time. When we make significant changes, we will notify you via email or an in-app notification at least 7 days before the changes take effect. The “Last Updated” date at the top of this page will always reflect the most recent revision.

Continued use of FollowUpEasy after the effective date of any changes constitutes your acceptance of the updated policy.

This Privacy Policy is governed by the laws of India, including the Information Technology Act, 2000 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011. Any disputes shall be subject to the exclusive jurisdiction of courts in Mohali, Punjab, India and the Digital Personal Data Protection Act, 2023 (DPDP Act).
